Role of the Secretary

• Prepare agenda for committee meetings with chair and committee members
• Circulate agenda, inform members of meeting
• Receive apologies and correspondence
• Take part and vote in meetings
• Document, circulate and produce minutes of meetings
• Photo copy appropriate items for chair and/or treasurer and/or other committee members
• Keep committee and other members, including trustees, informed of decisions
• Write and send letters and invitations, contacts of employment, grants etc.
• Arrange publicity e.g. advertising, fundraising
• Organise and produce news letters
• Arrange notice board, ensure posters are up to date, including insurance displayed
• Arrange printing of welcome booklet
• Arrange distribution of notices
• Be a signatory for cheques
• Arrange printing/raffle tickets
• Organise fund raising clubs e.g. Webb Ivory catalogue, Christmas Fair
• Advertise for staff
• Deal with correspondence on behalf of the committee
• Complete charity commission, companies house and other returns
